Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to Manage Contacts, users will need Manage permissions for Contacts


Contacts can be managed at the Company or Project level. This article will guide you through the potential actions that can be taken to manage your contacts.

Archiving Contacts

Archiving contacts is the best way to clean up contact lists in your company's system. To do so, start by selecting any contacts that need to be removed from your company contact list.

Then, use the Actions menu and select Archive Contacts.

To view archived contacts, click on the Filters option in the upper left corner. Select the Archived status to view your company's list of archived contacts.

NOTE: Once a contact has been Archived, it cannot return to an Active state. Instead, you will need to create a new contact in the system.


Sending an Invitation to Contact

After creating a Contact with External User Access, the contact can be invited to the External Portal by sending an invitation. This is done by selecting the contact, then clicking the Actions button and selecting the Send Invitation option.

Your Contact will receive an invitation email and a link to set up their account.

Once a Contact creates their account, they are granted limited access to RFIs & Change Orders in SiteMax. They will have access to the external portal as shown below.


Assigning Contacts to Projects

After Contacts have been granted External User Access, they can be assigned to a project by clicking the Actions button and selecting Assign to Project.

In the External Portal, they will be able to view the Project's RFIs and Change Orders that they are assigned to.


Merge Company Contacts

To manage your contact list, you have the option to clean up both Individual and Company contacts. Whether you need to manage a company's transition or merge two company contacts, the process can be completed simply by accessing the "Merge Companies" feature located in the Actions button.

Choose the Company Contact you would like to archive and select the Company you would like to merge with. By merging, all records and users associated with the company will be merged.

NOTE: Merging companies is an action that cannot be undone.
