Add users to projects through team module

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to assign users to projects, users will need Edit Permissions for Projects


Remember:

Users must be assigned a Title before they can be added to a Project

Adding Users to projects makes it easy to track time entries and manage access (Users can be granted permission to view only projects to which they are assigned). You can assign users to projects two ways, Individual users, or multiple users in a crew.

Adding Individual Users

To add individual users to the project, open the People module in your selected project.

  1. Under the Team tab, click on the blue "Add Users to Project" button at the top left of the screen. In the user selection interface, you have several search options to find the desired users:

    1. Search for the user you wish to add in the "Search User" field

    2. Filter users based on their assigned titles in the "Select Titles" field

    3. Filter users by tags in the "Select Tags" field

    4. Select users by their crew in the "Select Crews" field

  2. Click on the "+" beside the user's name to add them or click "Add All" if you want to add all users shown in your list

  3. Check "All Active Projects" or "All On-Deck Projects" if you wish to add your user to more than just the project you are currently in

  4. Enter the Expiration Date for the assignment or check "Set expiration date as project end date"

  5. Check "Send Notifications" if you wish to alert the user that they have been added to the project.

  6. Click "Add" to save your settings

Adding Crews

Note: Crews are pre-defined groups of users within your organization, typically organized based on their roles or responsibilities. Learn how to create a crew here

If you want to add a group of users based on the crew they belong to, follow the instructions for adding users, but instead click on the "Select Crews" option to add your crew. This allows you to add crews as a whole, simplifying the process of assigning multiple users to a project.

  • Enter the Expiration Date for the assignment or check "Set expiration date as project end date"

  • Check "Send Notifications" to alert each member of your crew that they have been added to your project.
