What are siteflow notices and how to create them

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to create Siteflow Notices, users will need Edit permissions for Settings


With access to manage and create SiteFlows, you can easily create a sequence of tasks, or events, simplifying the user experience for your subs. SiteFlows can be easily accessed through a QR code, making it convenient and efficient for keeping everyone on track.

Before you start creating your SiteFlows, you will need to have your Siteflow Notices created. These notices serve as the building blocks of your Flows and will guide your subs through the required steps for each project.


What are Siteflow Notices?

Siteflow Notices are different types of action blocks that can be used to create your SiteFlow. Each type of Notice serves a specific purpose, whether it's attaching media or receiving important information from your subs. Here's a breakdown of the different types of Notices and how to use them in your SiteFlow:

Media

The Media block can be used to attach photos, videos, or PDFs for your subs to review. This is a great way to visually communicate any important information that your team needs to see.

To add a Media block, simply click on the "Media" option when creating your SiteFlow, and follow the prompts to attach your desired files.

For every Siteflow Notice, select a Background Color for extra customization!

Text

The Text block is a great way to call attention to important information for your subs. You can use this block to provide instructions or reminders for specific tasks.

To add a Text block, simply click on the "Text" option when creating your SiteFlow, and enter your desired message.

Document Upload

The Document Upload block is a useful tool for receiving important documents from your subs. Whether it's safety or site documents, this block makes it easy for your team to submit and track necessary documents.

To add a Document Upload block, simply click on the "Document Upload" option when creating your SiteFlow, and follow the prompts to add your desired document.

Note: When a file has been uploaded to the Flow by a user not associated with a Company within the SiteMax system, it will be visible within the Project's Documents section in a folder labeled Siteflow Document Uploads.

When a file has been uploaded to the Flow by a user who is associated with a Company within the SiteMax system, it will be saved inside the Siteflow Document Uploads folder as a subfolder labeled with the Company name.

Site Report

The Site Report block allows you to attach a project report for your subs to complete.

To add a Site Report block, simply click on the "Site Report" option when creating your SiteFlow, and select from your Site Reports.

Safety Report

Similar to the Site Report block, the Safety Report block allows you to attach a project's safety report for your subs to complete.

To add a Safety Report block, simply click on the "Safety Report" option when creating your SiteFlow, and select your desired report.

Signature

The Signature block allows you to receive a signature from your user by attaching this component. Use this notice to confirm that your team or subs have completed a specific task or project.

To add a Signature block, simply click on the "Signature" option when creating your SiteFlow, and follow the prompts to add the necessary fields for your signature.

On-Site

The On-Site log block is a useful tool for tracking when a sub has entered the site. It includes a timestamp and geolocation for added convenience. All your subs need to do is click on the Form!

To add an On-Site log block, simply click on the "On-Site" option when creating your SiteFlow, and follow the prompts to track the necessary information.

Off-Site

Similar to the On-Site log block, the Off-Site log block is a great way to track when a sub has exited the site. It includes a timestamp and geolocation for added convenience.

To add an Off-Site log block, simply click on the "Off-Site" option when creating your SiteFlow, and follow the prompts to track the necessary information.

Last Report

The Last Report block is useful for showing the latest submitted form for a specific Report Type. Use this notice to have subs confirm they have reviewed the latest completed report PDFs.

To add a Last Report block, simply click on the "Last Report" option when creating your SiteFlow, and select the desired Report Type.

Check the "Show based on status" checkbox to show the latest report with the specified status.

Project Documents View

The Project Document View block allows users to open documents in a project folder with files being updated in real time.

Users will be able to click into the documents from the project folder directly in the SiteFlow. The PDF, image, or video will open once clicked!

In the folder section, while creating this notice, type the name of the project folder where the file is located. For example, if the folder's name is "Documents" this is exactly how it should be entered when creating the notice block, as the field is also case-sensitive.

To ensure the notice will show files from a project's folder, copy the folder's name and paste it into the Notice's "Folder" field.

It's important to note that the system won't consider folders within other folders.

Siteflow Logs

Every Notice action is automatically recorded in the system and stored in the Siteflow Logs. These logs can be exported as PDF or CSV files for easy sharing.


Creating Siteflow Notices

To create one of these notices navigate to your Company Settings > Modules > Notices tab > Siteflow.

  1. Click on the blue +Create Notice button

  2. Start by selecting the Notice Type

  3. Select a background color for the Notice

  4. Fill out the Layout title, text, and any attachments
    ​

  5. Click Save when complete

Remember, these steps are just an overview of what SiteFlows can do. Feel free to play around and experiment with different Notice types to find what works best for your team and projects.
