Managing Photos

Creating Photo Collections, Marking Up Photos, Sharing, Moving, Deleting, etc. All the ways to manage your Photos within the Photos module

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to manage photos & collections, users will, at minimum, need Create permissions for Photos


The Photos module offers a great many options. In it, you can organize your photos into Collections, mark up individual photos, share links with people outside of SiteMax and much much more. This article will take you step-by-step with all the ways you can manage your photos.

Photos

Marking up photos, editing dates, exporting photos, etc. All the ways you can manage your photos in the Photos module

Adding Photos

Adding photos in your Photos module is incredibly simple.

  1. In the Photos module of your selected project, click on the blue "+ Add Photos" button at the top left.

  2. From here, if you wish, you can choose a Collection to which you can add your photos.

  3. Once you've selected your Collection, you will have the option to browse your computer drive or select from existing photos within that collection

  4. After selecting the photos you wish to upload, you'll be able to add any descriptions you need to each one.

Note: Use the "Add description to all" feature if the descriptions for the photos are the same.

Sorting Photos

Sort your photos so that they're viewed in the order that works best for you.

  1. Click on the "Sorting" button at the top right of your project's Photos module

  2. Here, you can choose to sort either by Ascending or Descending order by the following criteria:

    1. Date - This will sort by the date listed on the photo

    2. Uploaded Date - This will sort by the date the photos were uploaded to the system

    3. Captured Date - This will sort the photos by the date the photos were taken

Filtering Photos

Use your filters to find just the photos you need.

  1. Click on the Filters button at the top right of your screen

  2. A new screen will appear with the Filter criteria you can choose from

    1. Start/End Date - Select the date range of the photos you want to view

    2. Collection - Choose photos from a specific collection without going into the Collections view

    3. Creator - Filter photos based on the user who uploaded them

  3. Click "Apply" to set your filters in place

Be sure to Clear your Filters to get back to your regular Photos view.

Managing Photos with Actions Menu

Use your Actions to make edits, export, and move, your photos

Important note: to utilize any of the options within the Actions menu, you'll first need to select the photos you want to manage. Selecting photos is done with the top half of the Actions menu (note the other actions are greyed out with no photos selected)

  1. Click on the Actions menu

  2. Select either "Select" or "Select All" if you wish to manage all photos within the Collection

  3. You'll see a small circle at the top right of each of your photos. This is how you can select your photos for management

  4. Select the Photos you wish to manage. You'll now see a checkmark inside the circle.


Now you're ready to perform the different Actions on the selected photos


Don't forget to click "Deselect All" when you're done!

Add to Collection

Add multiple photos to a Collection all at once.

  1. Having selected your photos (shown above) choose the "Add to Collection" option in the Actions dropdown - the number in parentheses denotes the number of photos selected

  2. A new screen will appear; click on the Collection field to bring a dropdown of your project's existing photo collections. Select your chosen collection

  3. Click "Upload" to finalize your action

You will now see your selected photos in the Collections View

Share Photos

Share your photos to external contacts with a link. This allows people outside of your SiteMax system to view the photos you want.

  1. Having selected your photos, click on "Share Photos" from the Actions dropdown menu - the number in parentheses denotes the number of photos selected

  2. A confirmation screen will appear; click "OK"

  3. A new screen will open. Here, you can create a URL link that you can share with others outside the company.

  4. Click "Create" to create the URL

  5. A shareable URL link will appear in the URL field. Click "Copy" to copy the link that you can then paste in a message to your contact.

The person will receive an external link to the photos shared. They will not need access to your SiteMax account

Change Date

Because photos are dated by the upload day by default, you may want to change some of your photos' dates to arrange them according to date.

  1. Having selected your photos, click on "Change Date" from your Actions dropdown - the number in parentheses denotes the number of photos selected

  2. A new screen will open. Here, you can select the date you want to assign to your photos

  3. Click "Save" to save your new date

Delete

Delete any photos you no longer need.

  1. Having selected your photos, click on "Delete" from the Actions menu - the number in parentheses denotes the number of photos selected

  2. A confirmation screen will appear; click "OK" to confirm deletion

Export

Export your photos to your computer's drive for use elsewhere

  1. Having selected your photos, click "Export" from the Actions dropdown - the number in parentheses denotes the number of photos selected

  2. Immediately a zip file of your photos will be downloaded to your computer

Move

Move or Copy your photos to another project.

  1. Having selected your photos, choose "Move" from Actions menu - the number denotes the number of photos selected

  2. A new window will appear; here, you can choose from your projects by clicking in the "Select a Project" field

  3. Choose either "Move" to remove the photos from your current project and move them to your new selected project or "Copy" to duplicate the photos in your new selected project, while retaining them in your current project.

  4. Click "Save" to save your changes

Share Photos by Date Range

Share only photos uploaded within a specific time frame

  1. From the Actions dropdown, select "Share Photos By Date Range" - no need to select photos, as you will be selecting them through date range

  2. Select the date range in the field provided

  3. Click "Share" to get started on creating and sharing your URL link

  4. A new window will open; click "Create" to create your URL

  5. A URL link will appear in the URL field; click "Copy" to copy the link so that you can share it with someone outside your company

When shared, your recipient will be able to open an external link to view the photos. They will not need access to your SiteMax account.

Individual Actions for Photos

Add descriptions, view/add comments, delete, or download individual photos.

Note; All below Actions can be performed while viewing individual photos in the Collections View

Add Descriptions

  1. Open the photo to which you want to add your description

  2. Click on "Add Description" at bottom of screen

  3. A Description field will appear; add the description needed and click "Save" to save it

Comments

View any comments associated with photos, or add any needed.

  1. At the bottom right hand corner of your photo screen, click on the 3-dot button

  2. A menu will appear. Select "Comments" - Note the number in parentheses denotes the number of comments attributed to the selected photo

  3. A new screen will appear where you can view any comments attributed to your photo, or choose to add your own. Click "Add Comment" to add your comment

  4. A Comment field will open; add your comment and click "Save" to save it

Delete

  1. Open your photo, and click the 3-dot button at the bottom right of your screen

  2. This will open a menu with options. Select "Delete"

  3. Click "OK" to confirm

Download

Download individual photos to share with others.

  1. After opening the photo, click on the 3-dot button at the bottom right of your screen

  2. From the menu, select "Download"

Immediately, a .jpg of the photo will be downloaded to your computer

Collections

Collections are a great way to help organize your project photos. You can group your photos based on divisions, phases, or whatever criteria works for you and your Company.

To access your Photo Collections, toggle the Collections View option on.

Adding Collections

  1. To create a new Collection, click on the blue "+ Add Collection" button at the top left of your Collections View screen

  2. A new screen will appear. Enter your new Collection's name in the field provided

  3. Click "Create" to create your new Collection

Adding Photos to Collections

There are few ways of adding photos to your Collections, this section will focus on doing so within the Collections View.

  1. Select the Collection to which you wish to add photos.

  2. A new screen will open showing the contents of your Collection

  3. Click on the blue "+ Add Photos" button at the top left of your Collection screen

  4. Here, you can choose to Browse your computer's drive, or Add from existing photos already uploaded to your project's Photos module.

  5. Once your photos have been selected, you can choose to add any descriptions you like to each of your photos in the fields provided. If no descriptions are needed, simply click "Upload" to upload your photos to your Collection

  6. If you wish to add a description that will apply to all photos, click "Apply description to all" at bottom of screen

  7. A new screen will open allowing you to enter the description that will apply to all photos.

  8. Click "OK" to confirm

  9. You will be taken back to your Upload screen where you can now see the description applied to each photo.

  10. Click "Upload" to upload your new photos

Your newly added photos will appear in your Collection. If descriptions were added, they will show up inside the photo box.

To get back to your Collections View click on "Photos" in blue beside the name of your Collection

Managing Collections

You can rename, delete, or share your Collections inside the Collections view, using the 3-dot button at the end of your chosen Collection

Rename Collection

  1. After clicking on the 3-dot button, select "Rename Collection" from the dropdown.

  2. A new screen will open - enter the new name in the field provided.

  3. Click "Update" to save the new name

  4. Your new Collection name will appear

Delete Collection

  1. After clicking on the 3-dot button, select "Delete Collection"

  2. Click "OK" to confirm

Share Collection Photos

Share your full collection of photos to an external contact with a URL.

  1. After clicking the 3-dot button for the collection, select "Share Collection Photos"

  2. A new screen will open to allow you to create the URL you'll need to share your photos

  3. Click "Create" to create the URL

  4. A URL will appear in the URL field. Click "Copy" to copy and share it.

You can now paste this URL into a link for anyone you like. They will be able to see the photos through an external portal.

Note; You can always delete any active URL links you might have shared with people to whom you no longer want to grant access by selecting the red "Delete active link" button

A new screen will open - paste the URL you wish to delete in the field provided.

Managing Photos within Collections

Use the Actions menu in your Collections View to manage your photos

Important note: to utilize any of the options within the Actions menu, you'll first need to select the photos you want to manage. Selecting photos is done with the top half of the Actions menu (note the other actions are greyed out with no photos selected)

  1. Open the Collection

  2. Click on the Actions menu

  3. Select either "Select" or "Select All" if you wish to manage all photos within the Collection

  4. You'll see a small circle at the top right of each of your photos. This is how you can select your photos for management

  5. Select the Photos you wish to manage. You'll now see a checkmark inside the circle.

Now, you can select from the other options from the Actions menu


Don't forget to click "Deselect All" when you're done!


Once your photos are selected, you're now able to manage your photos!

Add to Collection

Note; This action will effectively move your photos from their existing Collection to another.

  1. With your photos selected, click on "Add to Collection" from the Actions dropdown - the number in parentheses denotes the number of photos selected

  2. Choose from any of your existing Photo Collections within your project

  3. Click "Upload" to add these photos to your selected Collection

  4. Click "OK" to confirm

Your photos will no longer appear in your Collection, and will now appear in the Collection chosen

Share Photos

Just as you can share whole collections with external people, you can share just the photos you want.

  1. With your photos selected, click on "Share Photos" from the Actions dropdown - the number in parentheses denotes the number of photos selected

  2. Click "OK" to confirm

  3. A new screen will appear, allowing you to create a specific URL to share with someone

  4. Click "Create" to create the URL

  5. A URL link will appear in the URL field.

  6. Click "Copy" to copy the URL address

  7. Paste your URL into a link to share with others. They will be able to view the photos through an external port

Change Date

Because photos are dated by the upload day by default, you may want to change some of your photos' dates to arrange them according to date.

  1. Having selected your photos, click on "Change Date" from your Actions dropdown - the number in parentheses denotes the number of photos selected

  2. A new screen will open. Choose the date you want to assign to your photos

  3. Click "Save"

  4. You will be asked if you are sure, click "OK" to confirm

You'll now see your photos grouped under its new date

Delete

  1. Having selected your photos, click on "Delete" from the Actions menu - the number in parentheses denotes the number of photos selected

  2. Click "OK" to confirm

Export

Export your photos to your computer's drive for use elsewhere

  1. Having selected your photos, click "Export" from the Actions dropdown - the number in parentheses denotes the number of photos selected

  2. A zip file with your selected photos will automatically download to your computer's drive

Move

Move or Copy your photos to another project.

  1. Having selected your photos, choose "Move" from Actions menu - the number denotes the number of photos selected

  2. A new screen will open where you can choose the project and whether you want to move your photos to your selected project, or copy them over.

  3. Click "Save" to complete your move

Share Photos By Date Range

Share only photos uploaded within a specific time frame

  1. From the Actions dropdown, select "Share Photos By Date Range" - no need to select photos, as you will be selecting them through date range

  2. Select the Date Range in the field provided

  3. Click "Share"

  4. A new screen will appear where you can create the URL to share

  5. Click "Create" to create the URL

  6. The URL will appear in the URL field.

  7. Click "Copy" to copy it

Marking Up Photos

You can add mark ups to your photos in both Photos and Collections Views.

  1. To mark up photos, simply select the photo (either within a Collection or on the main Photos page)

  2. Click the "Markup" button at the bottom right of your photo screen

  3. A new screen will open up with a tool bar on the left.

  4. Choose from the following options:

    1. Zoom in/out

    2. Draw a freehand line

    3. Draw a shape

    4. Add Text

    5. Measurements

    6. Color of Markup tool

    7. Edit Markup

    8. Delete Markup

  5. Once you've added all the markups you want to your photo, you can now choose to save it as a New Photo, or Replace your original photo at the top left of your markup screen.
