Entering Time in SiteMax - Web

How to enter time through the web app.

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project materials. This can be done per individual or by applying Permission Templates.

In order to enter time in a Project's Timecards, users will need Create permissions for Timecards

Through Time Settings, you can record your time in Duration or in Start/End times. This help article seeks to outline the simple methods to enter either Duration only time or Start/End times using Timecards or the Time Center. Both methods offer ease of use and ensure accurate time tracking for your projects. Below are step-by-step instructions for each approach.

Timecards

Timecards is generally the recommended way to record your time entries, as it automatically sets the Project for which you are entering time.

Entering Time with Duration Only Workflow Enabled

If you have enabled the Duration Only workflow, you can follow the directions below for entering time. Remember that enabling the Duration Only workflow automatically disables your Check In/Out options.

  1. From the Dashboard, select the desired project for which you want to enter the time.

  2. After selecting the project, click on the Timecards module.

  3. Within the Timecards module, click the "Add Time" button.

    Note: Ensure that you are on the "People" tab.

  4. Filling out Time Entry:

    1. The "Add Entry" page will appear. Here, you can provide the required information for the time entry.

    2. Enter the duration of the work completed.

    3. Select the relevant users who have worked on the project during the specified time. (Note: Your Project field will automatically be filled)

    4. Add any additional details related to the work, if necessary.

  5. Once you have filled out the required information, click the "Save & Close" button to save the time entry.

Entering Time without Duration Only Workflow Enabled

If you have left the Duration Only workflow unchecked, you will now create time entries based on start and end times.

  1. Select a Project from your main dashboard

  2. Open your Timecards module (be sure you are on the "People" tab)

  3. Click on "Add Time" to add a new time entry

  4. Filling out the Time Entry:

    1. The "Add Entry" page will appear. Here, you can provide the required information for the time entry.

    2. Enter the start and end times of the workday

    3. Select the relevant users who have worked on the project during the specified time. (Note: Your Project field will automatically be filled)

    4. Add any additional details related to the work, if necessary.

  5. Once you have filled out the required information, click the "Save & Close" button to save the time entry.

Note: You can also treat your entry like a Check In by clicking on the "Current Time" and "Keep Checked In" boxes below the date and times.

Click "Save & Close" This will set the check in time for the time entry

To check out, you will need to open the entry to uncheck the "Keep Checked In" option and enter the check out time.

Note:

  • In Timecards, your Project field will automatically be filled, however, you can still change it on the "Add Entry" page if required.

  • Using Timecards is recommended as it ensures you are entering time for a specific project and that the users available to select are assigned to that project.

Time Center

Using the Time Center to record time entries is great for admins who might be managing teams across multiple projects.This allows you to select the Projects and Users to record their time entries.

Depending on your Time Settings, you may have the Duration Only Workflow enabled or not.

If you have enabled the Duration Only workflow, you can follow the directions below for entering time. Remember that enabling the Duration Only workflow automatically disables your Check In/Out options.

  1. From the Dashboard, open your Time Center module.

  2. In the Time Center module under the "People" tab, click the "+ Add Time" button.

  3. Filling out Time Entry:

    • The "Add Entry" page will appear. Here, provide the required information for the time entry.

    • Enter the duration of the work completed.

    • Specify the project for which the time entry is relevant.

    • Select the users who have worked on the project during the specified time.

  4. After filling out all the necessary details, click the "Save & Close" button to save the time entry.

If you have left the Duration Only workflow unchecked, you will now create time entries based on start and end times.

  1. From your Dashboard, open the Time Center module

  2. Be sure you are in the People tab, and click on "+ Add Time"

  3. Filling out the Time Entry:

    1. The "Add Entry" page will appear. Here, you can provide the required information for the time entry.

    2. Enter the start and end times of the workday

    3. Select the Project and the relevant users who have worked on the project during the specified time.

    4. Add any additional details related to the work, if necessary.

  4. Once you have filled out the required information, click the "Save & Close" button to save the time entry.

Note: You can also treat your entry like a Check In by clicking on the "Current Time" and "Keep Checked In" boxes below the date and times.

To check out, you will need to open the entry to uncheck the "Keep Checked In" option and enter the check out time.

Hot Tip: For admins with create permissions in Time Center, you can add time entries for users by crew.

  • On the Add Entry page, when selecting users, click on the icon to the right of the field

  • This will bring you to your list of crews to choose from

  • When the time has been entered, each member of that crew's hours will be recorded.
