Entering equipment time for users with Time Entries (self)

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to include Equipment time with their own time entries, users will need Create permissions for Time entries (self)


Users with Time Entries (self) can include Equipment in their Time Entries. For these users, entering equipment time can be done in two ways:

Add Equipment to the Time Entry by having the user select the Equipment in their Time Entry. This will create a Time Entry for the user and the Equipment selected.

  1. Create a Time Entry as an Equipment Operator by having the user create their Time Entry on the Web.


Add Equipment to Time Entries

On the Web, users can enter Equipment Time in the project's Timecards module. In the People's tab, there will be a +Add Time button that will create a time entry when clicked.

When clicked, the entry details page will open. Users will see the Equipment field where they will select the equipment associated with the time entry.

On Mobile, this option will be reflected in a single way through the creation of a Time Entry. Here your users will see the option to select the Equipment:

This is the reason why the Equipment Time option is not visible when inputting time through the +Add button > Time for these users.

Note: The button labelled "Equipment Time" displayed below can only be accessed by users who have Timecards permissions, which are only available to Full Users.

The button is available to Full Users with the necessary permissions to create Equipment Time entries separate from Labour entries (Timecards - View & Create).

For example, this will enable them to have Equipment Time entries with varying durations and cost codes compared to their labour entries.


Creating Time Entries as an Equipment Operator

Users who have been granted Time Entries (self) permissions have the same capabilities on both Web and Mobile. However, the layout on the Web may differ for these users, allowing them to add time as an Equipment Operator.

These users will have access to an Equipment tab in the Timecards module, where they can click on the +Add Equipment button (shown below).

This button serves as an alternate method for inputting time entries for the User, but it will also require an associated Equipment.

When you enter time here, the user who creates the entry will be automatically designated as the Equipment Operator. This means that a labour entry will be generated in the same way as an equipment entry. This behaviour is consistent on mobile, as it will also create a time entry for both the user and the Equipment.
