Permissions
Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.
In order to create new notices, users will need Create permissions for Notices
This article will walk you through what Notices are, how to create them, and some handy tips for managing them efficiently.
What are Notices?
Notices are a tool within SiteMax Systems that allow you to communicate important information of a project. Whether it's a shift in schedule, a safety alert, a form that needs attention, or a quality concern, Notices serve as a means to disseminate these updates effectively.
Creating Project Notices
Navigate to Company Settings: Find the Modules section and click on the Notices tab.
Click on the "+ Create Notice" icon: This initiates the process of adding a new project notice.
Select Type of Notice: Choose from options like Information, Site Bulletin, Safety Bulletin, and Media to categorize your notice.
Once you have selected the Type of Notice, a new screen will appear and you will have the option of selecting the Priority: Define how urgent or critical the notice is.
Populate Layout Fields: Add a title, subtitle, text, and any additional notes that convey the information effectively.
Attach a Report: Associate any relevant reports for easy access.
Add Attachments or Images: Include any necessary PDFs, images, or spec books.
Configure Notice Settings: Specify which users and projects should receive the notice. This is where Cadence, User Titles, Projects, and QR Workflow options come into play.
Cadence: Decide if you want your notice to be posted Daily, Weekly, or Monthly, and when that cadence will begin
User Titles: Tailor who sees the notice by adding specific User Titles.
Projects: Choose where the notice should appear on the Notice Board.
QR Workflow: Customize options related to QR workflows.
Click Save: Ensure all your changes are retained.
Note: All Users can view project notices when assigned to them. Only Full Users can edit and manage notices
Media & Cadence
Media: Using the Media type for your notice and customizing a Daily, Weekly, or Monthly Cadence for it is optimal when working with compliance.
Using Media type notices: If you've selected Media as the type of Notice, your Layout will look a little different. This is because your Media Notice can work with multiple clickable files (PDF, images, videos). This allows users to instantly view critical information by clicking on these attachments from their mobile devices or on the web.
Cadence: A Daily Weekly, or Monthly notice cadence allows you to tailor notices to fit your workflows. Once you have selected the Cadence for your notice, that notice will only ever appear on the days you have chosen based on the settings. ie; if you have selected a Weekly cadence with a start date of May 23, 2024 (a Thursday), your notices will be posted every Thursday. For Monthly cadences, you can choose the first or last week of the month, and the day you wish the notice to be posted.
Please note that the cadence feature for notices does not apply to notices in your current QR workflows. If you'd like this functionality in your QR workflows, please reach out to your CSMs about SiteFlow!
Bulk Editing Notices
Streamlining your process is a breeze with bulk editing. Here's how:
Select the Checkboxes: Choose the notices you want to edit.
Click on the Actions Button: This reveals options for editing or deleting notices.
Choose Edit: To apply changes to multiple projects at once.
Define the Projects: Either enter project names or select the "All Active Projects" option.
Editing Project Notices
Fine-tuning your notices is simple. Follow these steps:
Navigate to Company Settings: Look for the Notice Board section.
Click on the Notice's Title: This allows you to view details and make edits.
Modify Notice Details:
Type of Notice: Choose between Information, Site Bulletin, Safety Bulletin, and Media.
Layout: Adjust title, subtitle, text, and notes to suit your needs.
Report: Attach any relevant reports.
Attachments: Include additional resources like PDFs or images.
