Understanding and navigating the "Projects" tab in Dispatch module

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to add Appointments in the Projects tab, users will need Create permissions for Scheduler

In order to access Dispatch Settings, users will need Manage permissions for Scheduler


Getting Started

  • In the Projects tab, you'll notice an organized display of your available projects.


Adding Appointments

  • In the Project tab, you can schedule an appointment for each project. To create one, click on the tile of the corresponding date (column) and project (row).

  • A modal will pop up where you can input the Date Range (for multi-day appointments), Start Time, End Time, and Job/Area (Project)

Additional Steps:

  • Assign People: Assign this project to people

  • Attach Tasks List: Attach any necessary Tasks to the Project Assignment

  • Attach Tools: Include tools in the appointment. A handy “Search by tool name” is available if you have an extensive list of tools. Please note that attaching a tool to the appointment does not automatically assign the tool to the project.

Finally, don't forget to click the "Save" button to ensure your appointment is recorded.


Modifying Appointments

If you need to make changes to an appointment, start by verifying the date and project.

Click on the appointment tile that matches the user's row and date column, and a modal will appear. Make the necessary modifications, and once satisfied, hit "Save" to update the appointment.


Managing Appointments

Managing appointments involves a similar process. Confirm the date and project, click on the appointment tile, and the modal will appear once again. For added functionality:

1. Adding People to Appointments

If you need to include team members in the appointment, follow these simple steps. In the "Add Appointment" modal, you have two options:

  • Click the "+" button in line with the "People Assigned" section.
    OR

  • Alternatively, look for the "+" icon in the top right corner of the modal, then select "Assign People."

2. Including Task Lists

To attach task lists to your appointment, you can add them in two ways:

  • Click the "+" button aligned with the "Task Lists Attached" section.
    OR

  • Alternatively, use the "+" icon and select "Attach Task Lists."

3. Adding Tools to Appointments

Need specific tools for your appointment? Employ either of the following:

  • Click the "+" button in line with the "Tools Attached" section.
    OR

  • Use the "+" icon and select "Attach Tools."

4. Managing Appointment Status

Locate the 3-dot icon located in the right upper corner of the modal to access options such as Confirm, Publish, Complete, Pending, or Reject. Modify the status to suit the progress of your appointment. Each time an appointment changes status, an email alert and notification can be set up in the Dispatch Settings.

5. Deleting Appointments

To delete an appointment, find the "Delete" button in the modal and confirm your choice.


Useful Tips for "Dispatch - Projects" Tab

  • Filtering: At the bottom of the page, utilize filters like "Filter by managers," "Filter by job / area name," or "Filter by status" for quick information retrieval.

  • Universal Visibility: Appointments created will appear across all tabs (People, Tools, Projects, Schedule, Appointments), except the "Availability" tab.

  • Project List Management: In the Project tab, all projects are marked as "Starred" by default. This means that all available projects will appear in the "Projects" tab. If you have many projects and only want to display a few, you can do so by unselecting them in the "Dispatch Settings > Starred projects" tab.
