Setting up your Dropbox Integration with SiteMax. Steps to getting started on your own.

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

To set up the Dropbox integration, users will need Manage permissions for Settings

SiteMax Systems offers integration with Dropbox to enhance file management and workflow efficiency. This integration allows users to synchronize files between SiteMax and Dropbox smoothly.

Note: Documents already in SiteMax before the Dropbox integration will no longer appear in your SiteMax account, and will not transfer to Dropbox. Only new files added will show up in both SiteMax and Dropbox. For best results, we recommend reaching out to your CSM for assistance in setting up your integration.

Setting Up Dropbox Integration

To integrate Dropbox with SiteMax, follow these simple steps:

  1. Navigate to your Company Settings on the web, click on Integrations tab, and select Dropbox.

  2. A new window will prompt you to select your Dropbox account.

  3. Log in to your Dropbox account and authorize SiteMax to access your Dropbox files by clicking the "Allow" button.

  4. After authorization, an access code will be generated. Copy the access code provided.

  5. Return to the SiteMax interface and paste the access code into the designated Dropbox code field.

  6. Once the access code is entered, click the "Submit" button to complete the integration process.

Note: Upon successful integration, SiteMax will confirm the Dropbox integration. Users will receive a confirmation message indicating that Dropbox is now integrated with SiteMax.


File Synchronization Process

Uploads from SiteMax to Dropbox

  • When uploading files to Company Documents or Project Documents within SiteMax, the files will automatically appear in the corresponding folders within Dropbox.

Uploads from Dropbox to SiteMax

  • Similarly, when uploading files directly to Dropbox, the files will synchronize with SiteMax. Files uploaded to Dropbox will reflect in the appropriate folders within SiteMax, depending on the folder where they were uploaded in Dropbox.


Understanding Folder Structure

  • Once Dropbox is integrated with SiteMax, add a file to your Documents folder. This will trigger the sync with Dropbox and a new folder named "SiteMax 3" will be created within your Dropbox account.

  • Within the "SiteMax 3" folder, you will find two main subfolders:

    • Projects: This folder contains subfolders corresponding to each project in your SiteMax instance.

    • Company: This folder organizes files related to the company within SiteMax.

Projects Subfolders

  • Within the "projects" folder, sub-folders represent individual projects managed within SiteMax.

  • Each project folder contains documents and files specific to that project.

  • If you don't find the specific project folder in the "Projects" folder, it indicates that no files have been uploaded for that particular project.


Understanding Company and Project Documents

Company Documents

Company documents encompass files and resources that are relevant to the entire organization. It is accessible from the company dashboard within the SiteMax platform. Here's how to locate them:

  1. Navigate to the Company Dashboard: Log in to your SiteMax account and access the company dashboard.

  2. Locate Company Documents: Company documents are typically located next to Company Reports or in a designated section specifically for documents.

Project Documents

Project documents are specific to each project and can be accessed from the project dashboard. Follow these steps to find project documents:

  1. Select the Project: From the dashboard, choose the specific project you want to access documents for.

  2. Navigate to Project Documents: Within the project dashboard, there should be a section dedicated to project documents where you can find all relevant files and resources pertaining to that project.
