Permissions for Tasks
We’ve added more granular permissions for the Schedule module, specifically for Tasks. You can now assign one of three permission levels—Tasks (All), Tasks (Owner), or Tasks (Assignee)—giving you control over what each user can view and manage within Tasks.
Tasks (all)
This permission grants full access to all tasks across all projects, regardless of ownership or assignment. It’s ideal for office managers or system administrators who need complete visibility and control.
With this permission, users can:
View - Users can view all tasks and subtasks
Create - Users can create tasks and subtasks for anyone, add comments and attachments
Edit - Users can edit any tasks and subtasks, their assignees and owners, allocate resources, and update resource values
Manage - Users have full permissions to view, create, and edit, as well as the ability to delete tasks, subtasks, comments, and attachments.
Whether you want someone to simply view tasks across projects or be fully responsible for task management, this is the most access you can give.
Tasks (owner)
Users with this permission can interact only with tasks they own. When a user creates a task, they are automatically designated as the owner.
This is best suited for project managers or foremen who are responsible for assigning and overseeing work but not necessarily completing it themselves.
These users can:
View - Users can view all owned tasks and subtasks, complete subtasks, add comments and attachments
Create - Users can create tasks and subtasks, for which they will automatically be assigned as the owner
Edit - Users can edit the tasks and subtasks they own, allocate resources, and update resource values
Manage - Users have full permissions to view, create, and edit, as well as the ability to delete their owned tasks, subtasks, comments, and attachments
It empowers them to coordinate task details and ensure progress without giving them access to unrelated tasks.
Tasks (assignee)
This permission level allows users to work with tasks they are assigned to. Upon creating a task, the user becomes the assignee by default. Ideal for field workers or tradespeople, this permission supports task execution and collaboration.
With this permission, users can:
View - Users can view their assigned tasks and subtasks, complete subtasks, add comments and attachments
Create - Users can create tasks and subtasks, for which they will automatically be assigned to
Edit - Users can edit the tasks and subtasks they are assigned to and allocate resources
Manage - Users have full permissions to view, create, and edit, as well as the ability to delete their assigned tasks, subtasks, comments, and attachments
It ensures they can keep their responsibilities updated without unnecessary access to unrelated task data.
Permissions for Schedule Items
Schedule Item permissions align with the same types used for Task access levels. To provide greater control, users can be assigned one of three permission levels: Schedule Items (All), Schedule Items (Owner), or Schedule Items (Assignee).
Anyone with View access under any of these permissions will be able to access the Timeline, Calendar, and Board views.
Schedule Items (all)
This permission level provides full access to all schedule items across all projects, similar to Tasks (All). It is best suited for office managers or system administrators who require complete visibility and control.
With this permission, users can:
View – Access and view all schedule items across all projects
Create – Open the item modal to create new items, add comments, and upload attachments
Edit – Edit item dependencies, assign users, update progress, and add resource values
Manage – Perform all actions above, plus delete items, update the Project Card, and change item ownership
Schedule Items (owner)
Assign this permission to users who should only access and manage schedule items they own. When a user creates an item, they are automatically set as the owner.
This level is ideal for project managers responsible for coordinating and overseeing work.
With this permission, users can:
View – View all schedule items where they are the owner
Create – Open the item modal to create new items, add comments, and upload attachments to items they own
Edit – Edit dependencies, assign users, update progress, and add resource values for owned items
Manage – Delete owned items, update the Project Card, and change the owner of items they own
Schedule Items (assignee)
This permission is designed for users who need to manage only the schedule items they are assigned to. Upon creating a schedule item, the user is automatically designated as the assignee. This level is ideal for field workers or trade professionals focused on executing and collaborating on tasks assigned to them.
With this permission, users can:
View – Access and view all schedule items where they are the assignee
Create – Open the item modal to create new assigned items, add comments, and upload attachments to their assigned items
Edit – Modify dependencies, assign users, update progress, and manage resource values on assigned items
Manage – Perform all actions above and update the assignee for their assigned items
