Materials - Actions

Edit, Export, Archive etc. All the actions that can be performed within your Materials module when using either the Company or Project Inventory Workflow

Permissions

Always remember to ensure the correct people have the appropriate permissions to access Project and Company data. This can be done per individual or by applying Permission Templates.

In order to Edit or Archive Materials, users will need either Edit or Manage permissions for Materials


Whether using either the Company or Project Inventory workflows, you can manage your Materials using your Actions menu.

Company Inventory Workflow

Enable the Company Inventory workflow in your Company Settings under the Modules in Materials

Check Company Inventory under Material Workflows

You can use your Actions both in your Company Materials and your Project Materials.

Company Materials

Your Company Materials are materials available for your company. Open your Materials module on the main dashboard.

Export

Export your entire Materials list to CSV, or just a selected few, with the Export to CSV Actions.

  • If you just want to export a partial Materials list, select the materials by clicking in the boxes beside the materials, and select "Export Selected"

  • If you want a full list of all of your Materials, don't select anything and click on "Export CSV"

  • Once selected, your export will be emailed to you

Tip: Utilize your Filters to generate a specific list of material logs.

Add Log to Project

  1. Add a Material log to a project by selecting the material and clicking "Add Log to Project"

  2. A screen will appear in which you can select the project, and tags you wish and the quantity of the material you want to add to your project log.

  3. Click "Save" to save your Materials Log

Archive/Unarchive

Remove any material no longer in use from your Materials list by archiving. This will not completely delete the material, as you may still need the material information for your records. Conversely, you can unarchive previously archived materials.

Archive

  1. Select the material you wish to archive and select "Archive" from your Actions Dropdown

  2. Click "OK" to confirm


Unarchive

In order to unarchive your materials you will first need to locate your archived materials.

  1. Using your Filters, select "Archived" under the Status field

  2. Click "Apply" to apply your filters, and your list of archived materials will be displayed

  3. Select the Materials you wish to unarchive by checking the boxes beside their names, and under your Actions dropdown, select "Unarchive"

  4. Click "OK" to confirm

Bulk Edit

If you need to update Cost Codes, Value, Classification, Tags, etc. to a group of Materials at one time, use the Bulk Edit feature in the Actions.

  1. Select the materials you wish to edit by clicking on the boxes beside them

  2. A new screen will appear and you will be able to make any of the adjustments needed.

    1. Unit of Measure

    2. Value

    3. Quantity

    4. Cost Code

    5. Classification

    6. Tags

  3. Check the box beside the edit(s) you wish to make and enter the change in the field(s) provided

  4. Click "Save" to save your edits

Note: Any edits you make in the Bulk Edit will affect all materials selected. Use this feature when the update applies to all items

Project Materials

Your Project Materials are materials being used in project. Open your Materials module within your selected project.

Export

Export your entire Materials list to a CSV or a PDF file, or just a selected few, with the Export Actions.

  • If you just want to export a partial Materials list, select the materials by clicking in the boxes beside the materials, and select "Export Selected to CSV" or "Export Selected to PDF"

  • If you want a full list of all your Materials in a CSV file, don't select any materials and select "Export to CSV"

  • If you want a PDF list of all your Materials, click on the box at the top of the list (beside the Materials column) to select all your materials and select "Export Selected to PDF"

  • Once selected, your Export will be emailed to you

Tip: Utilize your Filters to generate a specific list of material logs.

Move to Company Inventory

If you have materials in your Project inventory that you want to move back into your company's inventory.

  1. Select the Materials you want to move back into your company inventory by clicking the boxes beside them.

  2. Under the Actions menu, select "Move to Company Inventory"

  3. Click "OK" to confirm

Project Inventory Workflow

Enable your Project Inventory workflow in the Company Settings, under the Modules tab in Materials

Select "Project Inventory" under Material Workflows

Company Materials

These are all the materials in your company. Find them in the Materials module on the main dashboard.

Export

Export your entire Materials list to CSV, or just a selected few, with the Export to CSV Actions.

  • If you just want to export a partial Materials list, select the materials by clicking in the boxes beside the materials, and select "Export Selected"

  • If you want a full list of all of your Materials, don't select anything and click on "Export CSV"

  • Once selected, your export will be emailed to you

Add Material to Project

Move some of your company's material inventory to a project

  1. Select the materials you want to move by clicking in the boxes beside the names and select "Add Material to Project"

  2. A new screen will appear where you can select to which project you want to move your chosen materials, along with the quantities you want moved.

  3. Click "Save" to finalize the move.

Archive/Unarchive

Remove any material no longer in use from your Materials list by archiving. This will not completely delete the material, as you may still need the material information for your records. Conversely, you can unarchive already archive materials.

Archive

  1. Select the material you wish to archive and select "Archive" from your Actions Dropdown

  2. Click "OK" to confirm


Unarchive

You can also Unarchive any Materials that have been archived, bringing them back into your inventory.

  1. To start, you will need to locate your archived materials using your Filters. Select "Archived" under the Status field

  2. Click "Apply" to apply your filters

  3. a full list of your archived materials will now appear.

  4. Select the ones you want to unarchive by checking the boxes beside each one

  5. Under your Actions dropdown, select "Unarchive"

  6. Click "OK" to finalize the Unarchiving

Bulk Edit

If you need to update Cost Codes, Value, Classification, Tags, etc. to a group of Materials at one time, use the Bulk Edit feature in the Actions.

  1. Select the materials you wish to edit by clicking on the boxes beside them

  2. Under the Actions dropdown, select "Bulk Edit"

  3. A new screen will appear, allowing you to select the edit(s) you wish to make by checking the box beside each one, and entering the changes in the fields provided

    1. Unit of Measure

    2. Value

    3. Quantity

    4. Cost Code

    5. Classifications

    6. Tags

  4. Click "Save" to save your edits

Note: Any edits you make in the Bulk Edit will affect all materials selected. Use this feature when the update applies to all items

Project Materials

When viewing your Materials module within a selected project, you will see all the materials assigned to that project.

Export

  1. Export selected materials to a CSV file by clicking on the boxes beside the materials you would like a CSV list for and selecting "Export CSV" under the Actions menu

  2. Your CSV file will be emailed to you

Tip: Utilize your Filters to generate a specific list of material logs.

Move to Company Inventory

  1. Move selected material back to the Company Inventory by clicking on the boxes beside the materials you wish to move and selecting "Move to Company Inventory" under the Actions dropdown

  2. Click "OK" to confirm
