Material Workflows - Company and Project Inventory

Understand the difference between project and company inventory settings to start tracking your materials in SiteMax.

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to set up Company/Project Workflows for Materials, users will need Edit permissions for Settings


We've designed Material Workflows to offer our users the option to customize material tracking for their needs. Whether you prefer to have materials and logs managed at the Project or Company level, material workflows are available for you to set and customize.

The Company Inventory and Project Inventory workflows are two different approaches to managing materials.

On the Company Inventory workflow, you can use any material to create a log in the project. The amount you use will be subtracted directly from the total amount of that material available in the Company Inventory.

On the Project Inventory workflow, only the materials that were added to the Project Inventory can be used to create logs. If there are any unused materials, they can be returned to the Company Inventory.


Project Inventory Workflow

By using the Project Inventory workflow, you can easily add materials to a specific project, log materials from the project's inventory, and make edits directly from the project.

When enabled, the Project Inventory workflow can be used to monitor the materials available at the Project Level.


In the Project Inventory, you can add materials to the project by clicking on the "Add Material to Project Inventory" button. This will open a pop-up window where you can search for the materials you want to add.


This feature allows you to view the Company Quantity, edit the value, and add the quantity of your choice. With the Project Inventory workflow, you will be able to make edits to the material's price and manage the quantity directly from the project.

Use the Move to Company Inventory Action to remove material from the project and add them back to the Company Inventory.

In the Material Logs tab, use the Move to Project Inventory Action to move any unused material back into the Project Inventory.


Company Inventory

The default configuration for material management in SiteMax is the Company Inventory workflow. By selecting this option, you can utilize any material from the Company Inventory for recording project material logs. The quantity logged in a project will be automatically subtracted from the total company material quantity.

In the Material module of a project, the Project Inventory tab will be deactivated. Instead, project material logs are directly recording materials from the Company Inventory. This workflow is particularly beneficial for projects where the material management process is managed at the Company Level.
