Question:
I created a Form, and I made sure that it showed up in one of my projects, but why can't my team see it?
Answer:
Forms in SiteMax work with specific user permissions. Even though you've created a Form and assigned a context or location to it (ie; Safety/Site/Equipment/Company Reports), permissions for users will still need to be managed for that form.
Important Note; Even if you created the form, your own permissions for that form will still have to be managed. The default permission on a form you create will be View only
To set your new form's permissions, navigate to the Team module from the Dashboard
In the Team module, be sure you are in the Users tab.
Select the specific user to whom you want to grant access
Once in the user's profile, go to the "Permissions" tab. Scroll down to find your list of forms available.
Locate the form you want the user to access. Select from the different levels of permissions you want to assign: Unlock, View, Create, Edit and Manage. Don't forget that your user's tier will determine which permissions you can grant them
Question:
Is there a faster way to apply permissions to multiple users?
Answer:
Absolutely! Permissions Templates are ideal for managing permissions for your team! Using Permissions Templates allows you to update the permissions of multiple users at once, without the need of going into each individual user's profile.
In the Team module, open the Permissions tab
Select the specific template you want to grant access to.
Scroll down to find your list of Forms available
Locate the form you want the user to access. For that form, you can assign different levels of permissions, such as Unlock, View, Create, Edit and Manage.
Unlock(ing) Form(s) gives a user the ability to lock or unlock a form. If a form is locked, the “Save” and “Save & Close” buttons become disabled, preventing further edits/changes. Available to Full Users only
Allowing a user to View a form gives them the ability to open the PDF URL of the form. Available for all users
When a user is given the Create permissions, they are allowed to create a new version of the form. Available to Full and/or Lite Users only
Giving a user Edit permissions gives them the ability to open the fillable form and save edits - unless “lock” permissions are not granted. Available for all users
When a user can Manage forms they have the ability to add, delete or update the date and “Label” of a form. Available to Full Users only
Once your templates are customized, you can apply them to the appropriate users. This saves time and ensures consistency in permissions. Don't forget to match the permissions with the users' tiers!
Note; Your system administrator decides on the permissions and access that are given to you. Our team can assist in understanding functionalities and behavior but cannot grant access on the system administrator's behalf to individual users.
