Offline Sync for Forms

How to create forms or reports offline for mobile.

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

While no permissions are necessary for setting up your Offline Sync, please note that in order to fill out forms, you must have Create permissions for the appropriate Site/Safety/Equipment/Company Report


Will you be on-site without Wi-Fi?

SiteMax's mobile offline sync is designed for users to create forms when outside of a network connection. Once online again, you will be able to sync forms back to the project.

Syncing Forms on Mobile

Step 1: To sync your form data for access offline, start by going to your Account Settings and clicking on Offline Sync.

  • Note: You will need to be online to sync.

Step 2: From there you can sync the list that could be needed to create a form.

Creating Forms Offline

Once your forms have been synced for offline access, you will be able to add new site and safety reports when outside a Wi-Fi network.

Step 1: Click on the project you would like to add a Report to

  • Note: You will see the "You are Offline" bubble and will not be able to load the Project's Day View

Step 2: Click on the Site or Safety Report module from the right-side menu

Step 3: Click on the Report you are creating a Form for

Step 4: Click on the three-dot menu and select the Create a Form option

  • Fill out your Form with the requested information and select Save & Close when complete.

You will now have the new form in your Reports Queue. When you are back online, you will be able to sync the completed form to the Project.

Creating Draft Forms

While online, you can start a form and save it as a draft if you know you may need to complete it at a job site with spotty reception.

Simply create the form as usual, and when you are ready to save, select "Save as Draft".

Your draft will then go into the Reports Queue, from there, you can access it while offline, and add to the form if needed.

Note; Logging out of your account may cause the draft to be lost.

Syncing Completed Forms

Sync the forms you completed offline when you have reconnected to Wi-Fi.

Step 1: Click on the Sync icon to find your completed forms in the Reports Queue.

Step 2: From here select the Sync Draft to Cloud option.

The forms you completed offline will now be synced with the Project.
