Why users can't see the form I created? Can I control who sees and uses the forms I create?

Question:

I created a Form, and I made sure that it showed up in one of my reports, but why can't our user see it?

Answer:

Forms in SiteMax work with specific user permissions. Even though you've created a Form and shown it in your reports (Safety, Site, Equipment or Company Reports), users need to have the right permissions to access it. To grant permissions, follow these steps:

  1. Navigate to the Team Module: From your dashboard, click on the "Team" module.

  2. Access User Profiles: Within the Team module, make sure you're on the "Users" tab. Select the specific user you want to grant access to.

  3. Manage Permissions: Once you're in the user's profile, go to the "Permissions" tab. Here, you'll find a list of forms available.

  4. Adjust Form Permissions: Locate the form you want the user to access. For that form, you can assign different levels of permissions, such as Unlock, View, Create, Edit and Manage.

Answer: Using Permission Templates

If you have a group of users who all need similar permissions for the form, you can take advantage of permission templates. Here's how:

  1. Navigate to the Team Module: From your dashboard, click on the "Team" module.

  2. Open the Permissions tab

  3. Access Permission Template: Select the specific "Permissions Template" you want to grant access to.

  4. Manage Permissions: Once you're in a specific Permission Template (Ex. Admin, Lite). Here, you'll find a list of forms available.

  5. Adjust Form Permissions: Locate the form you want the user to access. For that form, you can assign different levels of permissions, such as Unlock, View, Create, Edit and Manage.

  6. Applying Templates: Once your templates are customized, you can apply them to the appropriate users. This saves time and ensures consistency in permissions.
