How to record a users equipment time using Equipment Operator. Equipment tracking across multiple labour entries

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to record equipment time, users will need Edit permissions for Equipment


Effectively manage your equipment and its operators with ease using SiteMax to capture detailed equipment time entries. Simplify equipment tracking by choosing the workflow that aligns perfectly with your company's needs.


Equipment Operator

An Equipment Operator field within equipment time entries records the user operating the equipment. It is a field that can reference any user in your SiteMax system.

Equipment time can be documented in conjunction with a Labour time entry or independently as an Equipment time entry associated with any user. Opting for the latter leverages the Equipment Operator feature, allowing for separate tracking of your equipment's operators.

Use the Equipment Workflow to monitor individual equipment and its Equipment Operator(s) by generating a single Equipment time entry or by creating multiple entries within a unified log.

Alternatively, use the Labour Workflow to record Equipment time when a user is entering their time. This also allows users to create their time entries by logging the same equipment across multiple operators.

Whether you opt for separate entries for equipment or combine them with labour time entries, both time workflows can be configured to align with your company's specific processes.


Labour Workflow

Labour Workflow can be enabled to track equipment time through labour entries. This workflow works together with the Equipment Field to easily log equipment and labour time in one entry. Equipment entries will be created by selecting the equipment field when entering labour time.

Keep the Equipment Operator field hidden (recommended), optional, or required and set the Equipment field to be hidden, optional (recommended), or required. It would apply in the labour entries screen.

The entry for Labour will show a reference to the user under the Equipment field. Any addition of Labour time with an Equipment added will also suggest an Equipment Operator. In the Labour workflow, the User who created the time entry will be entered as the default Equipment Operator. This can be changed by viewing the Equipment time entry in the Time Center or Timecards module.

When viewing the User's labour time entry, easily access the Equipment time entry by clicking on the Equipment field.

Note: If you select multiple users for one tool, multiple equipment time entries will be created - one per user.

If you use a check-in and check-out workflow the equipment time will match the in and out entry of each user.

WARNING: Setting the out time or deleting the active check-in for an equipment entry will be applied to the labour entry.


Equipment Workflow

Enable the Equipment Workflow to track equipment time separately from labour entries. This workflow works in combination with the Equipment Operator field. By choosing this workflow Equipment time will be entered separately from any labour time entries.

You can choose to associate the entry with a user with the Equipment Operator field. Either set the field to be optional or required. This will not create a labour time entry and will not check for conflicts against your labour time.

Instead this workflow associates the Equipment time entry with the Equipment Operator. Changing the Equipment Operator will not affect the user's time entry, as the association can be overridden with the Equipment Workflow.

Important note: if you select multiple Equipment items all entries will be associated with the Equipment Operator you have selected.
