Permissions
Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.
In order to add records to users' profiles, users will need Create permissions for Records, and Edit permissions for Users
Viewing and Uploading Records in a User's Profile
Access the Team Module:
From the dashboard, locate and click on the "Team" module. This will take you to the team management section.
Select the User:
Within the "Team" module, under the "User" tab, select the specific user whose records you wish to manage. Click on their name to open their user profile.
Navigate to the "General" Tab:
In the pop-up window displaying the user's information, ensure you are on the "General" tab.
Locate the Record Button:
Scroll down the page until you find the "Record" button.
Uploading Records:
To upload a record or certification, click on the "Record" button. This action will prompt a new window to appear, and from the new window, click "Add Record".
Record Upload Window:
In the newly opened window, you'll be able to choose and upload the relevant record. Follow the on-screen prompts to complete the process.
Bulk Add Records
You can also add records to multiple users at once. This is ideal for when a team has completed a course together, and you want to add their certifications.
In the Users tab of your Team module select the users you want to add records for by clicking on the box beside their names.
2. Click on the Actions dropdown and select "Bulk Add Records"
3. Enter the details of the record in the fields provided.
Editing, Renewing, and Archiving Records in a User's Profile
Editing Records
If you need to make any changes to a user's record or certification, the edit feature will allow you to make any changes necessary
Select the record you wish to edit and make the changes needed.
Note: You can set reminders to schedule a record or certification renewal as you get closer to the expiry date. These reminders can be assigned to multiple users, which might include the admin in charge of arranging renewals or safety/first-aid training and the user themselves.
Renewing records
When a user's record has expired, rather than uploading a new one, you can renew the existing record.
Open the record you need to renew and click on the "Renew" button at the bottom
Archiving Records
If a record or certification becomes obsolete, or if the user is no longer with the company, you may want to archive the record.
Open the record you wish to archive and select the "Archive" button at the bottom
