We're introducing more streamlined ways of keeping track of Equipment Maintenance records and User, Contact, and Company records. Read about the latest updates and newest features!


Equipment Maintenance Records

In addition to our new Record features, we added a new field for user and maintenance Records to help you identify contracts, invoices, certificates, etc. As a user with Records Create and/or Edit permission, you will be able to add to the new External Reference Number. This new field is included in maintenance and user records tables.

For Equipment, the Reference Number will also be shown in the maintenance log exports.


Record Reminder for Unit Logs

In addition to our latest record updates, we've introduced the ability to set reminders for equipment records based on tool unit logs. By setting up reminders, this feature lets you know precisely when equipment needs its next service. When creating or updating an equipment record, you can set your service item rules to the unit amount in the Reminders field. For example, if your vehicle (currently at 50,000 km) requires an oil change every 10,000 kilometres, you can create a service item reminder to notify you when the equipment logs hit 60,000 km or earlier.

To do this, follow these steps:

  1. Start from the Equipment module and click on the chosen Equipment

  2. Click on the Maintenance tab to view equipment logs, services, and records. Here you can specify the unit type for your Equipment logs

  3. Under Unit Logs, you will see the Current units logged for the equipment

  4. Click on Add Service Item

    1. Fill in the Service Item name and description. Enter the unit amount at the Time of Service (Ex: 50,000 km) and the distribution list of users to receive the reminder

  5. Click on Save when complete


Renew Expired Records

Now, instead of creating a whole new record when one expires, you can select the "Renew" option and the record will be copied. All that will be needed is a new expiry date. This will be ideal for equipment maintenance, as well as licenses!


Archive Records

Archive records that are no longer needed. Whether it's a maintenance record for equipment that is no longer in use or a license for an employee no longer with the company.


Multi-Users Record Reminders

Is your Equipment due for a maintenance check? Now you can send Reminders to the people in charge of that equipment. You can select one or multiple people to send these reminders to. Simply select your Reminder Recipients when creating or editing your Equipment Records.


Bulk Edit for Records

Make edits such as Issuing Body, Issue Date, and Expiry Date to multiple records at the same time with our Bulk Edit feature.

To start Bulk Editing your Equipment simply, select the types of Equipment > Actions > select Bulk Edit.


New "Expires In" Column

We've added a new column to the Equipment and Team module. The Expires/Next Service In or Expires In column tells you how many days the record expires or until the next service.

This feature has been added to our Records and Maintenance tabs in the Team and Equipment modules.


New Statuses for Records

Now you can filter your Records by more than just Active and Blocked. We have created new Statuses for your Records. Active, Expired, Open, Completed, and now that we have provided the option of archiving unneeded records, there is Archived and Unarchived.
