Keep track of your equipment

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project materials. This can be done per individual or by applying Permission Templates.

In order to edit Equipment, users will need Edit permissions for Equipment


Ensure the safety of your employees and maintain compliance with SiteMax's organized record-keeping and maintenance capabilities.

Streamline the management of your company's equipment by utilizing the Equipment module. Inside, you'll find a list of all company equipment under the Main List tab.

Click on any of the listed Equipment to view the Equipment details. Here you will find the Equipment's Profile, Maintenance, Reports, and Log.

Profile

Under the Profile tab is where you can enter and view all your equipment's information such as the name, status, serial number etc. and where the tool is located ((ie; assigned to a user, project, toolbox, or toolshed), as well as whether the tool is a service or a rental item.

Tip: Check the "Time Tracking?" option to keep track of your Equipment's logged hours


Maintenance

Under the Equipment's Maintenance tab, you will be able to keep track of all your Equipment's maintenance

Units of Measure

The first item under the maintenance tab is your Units of Measure. Here is where you can choose how you want to record your equipment's logs and services.

Your three options are:

  • Kilometers

  • Miles

  • Hours

Once checked, all the following logs in the Maintenance tab will be measured in the chosen unit.

​Unit Logs & Add Unit Log

Unit Logs is where you can record the number of units the equipment has been used.

To add a Unit Log, select "Add Unit Log" at the bottom of the screen

From here, click on the arrow to record the units the equipment has been used.

Note: Don't forget that the Unit of Measure you have chosen will be the unit you are recording

Services & Add Service Item

Services show the service history for your equipment. A new Service Item can be added by clicking on the "Add a Service Item" button.

Here you will be able to add a Service Item for your equipment by filling out the following information.

  1. Enter the date for the last Service

  2. Enter the date for when the next service is due

  3. Select the date for the reminder by clicking on Remind Me and entering the date and time for your chosen reminder

Or you can set an auto reminder based on Tool Logs. When creating or updating an equipment record, you can set your service item rules to the unit amount in the Reminders field.

  1. For example, if your vehicle (currently at 50,000 km) requires an oil change every 10,000 kilometres, you can create a service item reminder to notify you when the equipment logs hit 60,000 km or earlier.

Records & Add Record

Records, as opposed to Service Items, are generic records that can be applied to all equipment, such as "Tune Up", or "Yearly Maintenance", etc.

You will see the same records across all equipment profiles

  1. Click on the "Add Record" button at the bottom of the screen

  2. You can then add whatever record you wish to your equipment

  3. Click on "Remind Me" to add a reminder for when the record is about to expire

Purchase Orders

This section will show any Purchase Orders associated with the selected Equipment, and will allow you to track costs and logs in one place.

Reports

Under the Reports tab are all of your Equipment Reports. These are the forms designated as Equipment forms in your Company Settings.


As with your Site and Safety Reports, click on "Add Form" to fill out your Equipment Reports

  1. Select the form you wish to fill out to highlight it and click on "Add Form"

  2. Fill out the form as required

Log

In the Log tab is the activity history of the equipment. When a piece of machinery has been assigned or moved to a project, it will be recorded in the Log tab.
