Team - Adding & Inviting New Users to SiteMax

This article explains the steps to add new users to SiteMax

Permissions

Always remember to ensure the correct people have the appropriate permissions to access your company and project data. This can be done per individual or by applying Permission Templates.

In order to Manually Add new Users, users will need Create permissions for Users

In order to Import Users, users will need Manage permissions for Settings

In order to Export Data, users will need View permissions for Settings

In order to Invite users to SiteMax, users will need Manage permissions for Users


Once you've created your SiteMax account, you will want to add your team. There are two ways of adding users to SiteMax:

Manually Adding New Users to SiteMax

Manually adding users is ideal when dealing with a smaller team, or when bringing on new employees. It's a quick and easy way of adding 1-2 users at a time.

To add a new user, follow these steps:

  1. Go to the dashboard and click on "Team".

  2. Click the "Add User" button and fill out the required information.

  3. Click "Send invitation email" to send a temporary password to the user. They can then create their own password and log in to SiteMax.

  4. Click the "create user" button.

Phone Numbers

Multiple phone numbers can be added to users' profiles, but must be designated as Primary and Secondary phone numbers. Primary numbers should always be mobile phone numbers for authentication purposes. To assign the primary designation to a phone number, click on the Star icon located within the extension box. For more information on assigning phone numbers to users, please see our article.

Note: If your company is re-using mobile phone numbers for your workers, and you need to assign a mobile number that is already assigned to a former worker, blocking the former user will free up their Primary number, allowing you to assign that number to the new user.

Note:

  • Be sure to assign a title to your user if you plan to add them to a project! Find out how here

  • As well, permissions will need to be granted to your new user. You can do this individually or through templates. Learn how here!

Importing Users

Importing users is an important step and should be one of the first steps in implementing SiteMax. Using the import feature allows you to add your whole team into the system all at once.

You can import users to SiteMax by navigating to the "Import/Export Data" section in Settings. Download the user import template by clicking on the "sample CSV file"

Exporting Users

Exporting data is extracting certain datasets from your SiteMax instance. Exporting can be used as a method of backing up important data or moving data to another application via a CSV import.

1. Simply click on export data and check your email for export data. It may take several minutes to arrive, depending on the file size.

2. Check your email. Open the attached file, unzip and save the CSV file locally on your PC.

Inviting Users

Once you have added your users, you will want to invite them to set up their SiteMax account. With their invite, they will receive a temporary password they can use to log into their account for the first time, and be able to create their own, private password.

  1. From the "Users" tab, identify the individuals you want to invite to SiteMax.

  2. After selecting the invitees, locate the "Action" drop-down menu at the top of the user list. Click on the drop-down menu to reveal a list of available actions. From this menu, choose the option labeled "Send Invitation Email."

Note:

The invitation email serves a dual purpose as it not only invites users but also enables password resets for existing users.

Don't Forget! Instruct users to copy or paste the Temporary Password on initial login.
